Please read these Booking Terms and Conditions carefully before making any booking. They outline important legal rights, obligations, and remedies, and your continued use of our services or website signifies your acceptance of these terms.
Throughout this document, the terms “we,” “our,” “us,” “Qwinzi,” “Qwinzi Experiences,” and “Qwinzi Experiences Private Limited” refer to Qwinzi Experiences (a unit of Marismeno Worldwide Private Limited). The terms “you” and “your” refer to the customer or traveler.
These terms apply to all bookings made:
- Directly through our website, email, or phone;
- Through one of our consultants or in-person appointments;
- Via any affiliated channel officially authorized by Qwinzi.
Authority and Acceptance
By making a booking, you:
- Agree to these Terms and Conditions;
- Represent that you are authorised to accept them on behalf of all travellers listed on the booking;
- Confirm that you have communicated all relevant information to each traveller in your party.
The person making the booking accepts full responsibility for all payments due and confirms that all provided details are accurate.
Passport & Visa Requirements
You are solely responsible for ensuring that all travelers:
- Hold valid passports (with at least 6 months validity beyond the date of return);
- Possess machine-readable passports where required;
- Secure the necessary visas, permits, transit documents, and re-entry approvals.
Qwinzi may provide general guidance regarding visa/passport requirements but is not responsible for the accuracy of third-party information or for the outcomes of visa applications. Any costs, fines, or travel disruptions due to non-compliance with immigration requirements are solely your responsibility.
- Travel Documents
Travel documents include airline tickets, accommodation vouchers, tour confirmations, and other service confirmations.
- These may be non-transferable, non-refundable, or subject to strict amendment policies.
- Names on travel documents must exactly match those on the traveler’s passport or government-issued ID.
- Discrepancies may result in denied boarding or additional costs. You must notify Qwinzi immediately of any errors.
- Travel documents will generally be available 14 days prior to departure unless otherwise advised.
- If booked online, ensure you save and/or print the latest version of your documents.
- Travel Insurance
We strongly recommend comprehensive travel insurance that covers:
- Trip cancellations or interruptions;
- Medical expenses and repatriation;
- Lost baggage, personal belongings, and documents;
- Personal liability and accidents.
We are happy to assist in sourcing travel insurance; however, we cannot guarantee the inclusions or the suitability of coverage. It is your responsibility to review and understand your insurance policy’s terms.
- Health and Medical Conditions
You must consult your doctor or a certified travel health provider regarding:
- Required vaccinations;
- Medical travel clearance;
- Medication regulations for your destination.
We will inform service providers of any medical requests (e.g., wheelchair access, oxygen requirements), but acceptance is at the provider’s sole discretion. Qwinzi is not liable if your health needs are not accommodated.
- Pricing and Payment
All prices are:
- Quoted in Indian Rupees (INR) unless stated otherwise;
- Subject to change due to currency fluctuations, fuel surcharges, government taxes, or availability;
- Not guaranteed until full payment is received.
Deposits and Final Payments:
- A deposit may be required to secure a booking and is generally non-refundable;
- Final payment is due at least 6 weeks prior to departure (unless otherwise specified);
- Some services require full payment at booking (e.g., non-refundable airfares or instant confirmation deals).
- Financial Arrangements and Commission
Qwinzi receives remuneration in the form of commissions and financial incentives from service providers. This is a common industry practice, and we are not obligated to disclose the exact value of such arrangements.
- Payments and Surcharges
Domestic Cards (Issued in India):
- Credit Cards (Visa/MasterCard): 2% surcharge
- Debit Cards (Visa/MasterCard): 1% surcharge
International Cards:
- Visa/MasterCard Credit Cards: 5% surcharge
UPI / Netbanking:
- No surcharge
Cheques:
- Require at least 5 business days for processing;
- Post-dated or stopped cheques are not accepted.
Cash Payments:
- Restricted to less than ₹10,000 per booking in compliance with Indian law.
- Amendments and Cancellations
All booking changes or cancellations must be made in writing and are subject to:
- Qwinzi’s administrative change/cancellation fees (as per contract or published fee schedule);
- Fees or penalties imposed by the travel service provider;
- Refund timelines that depend on receipt of funds from suppliers, which may take up to 12 weeks or more.
Non-Refundable or Instant Purchase Bookings:
- No refunds, credits, or changes are permitted once booked.
- Travel Service Provider Policies
All bookings are subject to the terms, conditions, and cancellation policies of the relevant third-party providers. Qwinzi acts only as an agent and is not liable for changes, failures, or inadequacies in services provided by external entities.
- Unavoidable or Extraordinary Circumstances
Travel disruptions caused by force majeure—including but not limited to pandemics, wars, riots, natural disasters, or government restrictions—are beyond our control. In such cases:
- Refunds or credits depend entirely on the supplier’s policy;
- Qwinzi will deduct any “unrecoverable costs” including non-refundable supplier payments and service fees.
- Travel Provider-Initiated Changes or Cancellations
If a travel service provider modifies or cancels your booking:
- Alternative arrangements of comparable value will be offered if available;
- Otherwise, you may be eligible for a refund or credit subject to deductions of unrecoverable costs and applicable fees.
- Frequent Flyer and Loyalty Programs
You are responsible for providing accurate membership details at the time of booking. Qwinzi does not guarantee accrual of points, status credits, or benefits for your reservation.
- Special Requirements
Any special requests (e.g., dietary needs, mobility assistance) must be advised at the time of booking. We will communicate them to the relevant service providers, but fulfillment is not guaranteed.
- Schedule Changes
Flight schedules may change. We recommend reconfirming your flight times directly with the airline 24 hours prior to departure.
- Privacy and Data Use
Your personal information will be handled in accordance with our Privacy Policy. By booking with us, you consent to the collection, use, and disclosure of your data for the purposes of travel booking, administration, and compliance with legal and regulatory requirements. Some data may be shared with overseas service providers in connection with your travel arrangements.
- Limitation of Liability
To the extent permitted under law, Qwinzi is not liable for:
- Injury, loss, delay, inconvenience, or damage caused by third-party service providers;
- Force majeure or events outside our control;
- Any indirect or consequential losses.
Where our liability cannot be excluded, it is limited to the extent permitted under applicable laws and conventions (e.g., Montreal, Athens, Paris Conventions).
- Agency Disclaimer
Qwinzi acts solely as a booking agent for third-party service providers. We are not the provider of travel services. Your contractual relationship is directly with the relevant supplier. Except for cases of proven negligence, Qwinzi bears no responsibility for the quality, safety, or accuracy of services rendered by external parties.
- Amendments to Terms
These terms are subject to change at any time without prior notice. The most current version will always be available on our website at www.qwinzi.com. Bookings made after the update date are subject to the revised terms.
- Governing Law
These Booking Terms and Conditions are governed by the laws of India, and all disputes shall be subject to the exclusive jurisdiction of the Courts in Gurgaon, Haryana.
- Acknowledgment
By booking with Qwinzi Experiences, you acknowledge:
- That you are at least 18 years of age;
- That you understand and agree to these Terms and Conditions;
- That you have reviewed and consent to our Privacy Policy.
